Meet Director: Has full authority over all officials, assigns, instructs and qualifies them. Enforces rules and decisions. Paces the meet, signifying with whistle that starter can begin the next heat. Notes disqualification (DQ) to official scorekeeper(s). Make decisions when Judges do not agree. Responsible for ensuring results are passed to WHALe immediately after the meet.
Starter: After referee’s signal, explains age, gender, distance, stroke which heat - asks swimmers to take their mark and starts race. Calls back competitors in event of a false start.
Score keeper: Records the order of finish and the times, notes all DQs for all events. Compiles team scores. Directs information to awards table.
Stroke judge: Must be trained and certified by WHALe for rules governing turns and touches for Freestyle, Breast, Back and Butterfly strokes. Report all DQs to the Meet Director.
Ribbon Table: Organizes and distributes ribbons to the swimmers based on placing information provided by the scorekeeper.
Meet Timer: Help time and record times for swimmers during the meets.
Runner: Brings recorded times from the meet timers to the scorekeeper table.
Deck set up at home meets: Come before the home meet starts (around 5:30) and help set up all of the equipment.
Deck Clean up at home meets: As soon as the meet is over help put the equipment away.
Head Ready Bench Parent: These people have the responsibility of coordinating all ready bench assignments for the age level they have volunteered for the entire season. There will be usually two other volunteers helping with each age group at each meet.
Ready bench: Ready Bench volunteers stay with an assigned age group for the entire meet. They are responsible for taking attendance for their age group and notifying the Coach's assistant and start line officials of absent swimmers. They must inform the swimmers of their assigned events--in some age groups the events and heats are written in Sharpie on the swimmers' hands for easy reference. Ready bench volunteers also bring the swimmers in order to their assigned lanes in a timely fashion. They watch over their swimmers at the meet, remind the swimmers to clean up after themselves, and generally help the swimmers maintain appropriate behavior throughout the meet. For each meet, 3-4 adults per gender and age group are needed for swimmers 12 and younger, and at least 2 adults per age and gender group will be needed for swimmers over 12.
Time Trials Timer: timers are need for every time trial for that age group.
Data Entry: Enter swimmer times after each time trial into the website database and enter any other swim times needed by the coaches.
Attendance: Take attendance at the gate to the pool during your child’s practice.
Concession stand help: Work in the concession stand during the meet.
Deck Manager: These volunteers will work to keep the north and south ends of the pool clear of excess people. Keep those people who are not swimming or directly involved in getting the swimmers ready to swim out of the ready bench area and start line. Deck manager is crowd control at each end of the pool.
Maintenance and Sanitation: This person will make sure the trash is taken out, the bathrooms are tidy and stocked and take care of any light maintenance that might be needed during the meet.
Donuts & Water: Hospitality – Practices: Purchase and provide one dozen donuts on Fun Fridays at the end of each age group practice time. A donation of a 24 pack of waters will be required of every family after the donut spots fill up.
End of Year Party: Helping with the end-of-the-year team party.
WHALe Insurance Coordinator: Verify and document that all WHALe teams have the required insurance for the current season.
Substitute: As a substitute, you are to check in with the volunteer coordinator at before the meet and be prepared to fill in for any job that is needed.
